Switching on the AI helper

The AI helper is off until you turn it on, give it a key and set a monthly spending limit. Here's how.

The AI helperLast checked

What it does

The AI helper does two jobs, and you can switch on either or both:

  • Drafts from the staff app. Staff take photos and record notes or voice memos on their phone. The AI helper turns them into a draft listing: a title, a description and categories from your shop's own list.
  • Descriptions for products you already have. From the web admin, it drafts descriptions for existing products and makers, using facts already on each one.

Nothing it writes goes live on its own. A person checks and approves every draft. It never guesses a price: it only uses one a person typed or said, and asks you to confirm it.

Before you start

The AI helper uses OpenAI, so it needs an OpenAI API key on your server. That's set by whoever looks after your server, not in the admin. Drafted descriptions can use Anthropic instead, with its own key. Only the shop owner can turn on the switches below.

Switch it on

  1. 1

Ask for the API key to be added

Whoever looks after your server adds OPENAI_API_KEY to the shop's settings and restarts it. See the configuration settings.

  2. 2

Turn on the switches you need

Go to Feature flags and turn on:

    • mobileApi and mobileAiCapture, for drafts from the staff app.
    • aiCopyDrafts, for descriptions of products you already have. It won't switch on until the API key is in.

  3. 3

    Set a monthly spending limit

Go to Settings, then AI capture, and fill in Monthly spend cap. This is required: no AI work runs until it's set, and none runs once this month's estimated spend reaches it. Clear it to stop the AI helper altogether.

    AdminthenSettingsthenAI capture

The same page has a Per-job cap and shows what you've spent this month. Its Status list ticks off each thing the helper needs.

  4. 4

    Decide who approves drafts (optional)

By default, the person who checks a draft can approve it themselves. To insist on a second person, tick Require a second reviewer under Approval on the same page.

Settings › Feature flags lists each switch by its code name. Step 2 turns this one on.
